Job Description

  • Job Posting: Club Administration Team Member – East York Skating Club
  • Location: East York Memorial Arena (Toronto)
  • Type: Part-Time Administrative Role 10-20 hrs/wk, variable. 
  • $25-$27/hr

Position Summary

As a member of the Administrative Team you will be part of the operational backbone of EYSC—ensuring smooth day-to-day functioning, supporting member services, coordinating events, and managing communications. You’ll work closely with the Board of Directors, coaches, and volunteers to deliver exceptional experiences for our members.

 

Key Responsibilities

 Administrative & Club Management

  • Oversee daily administrative operations and maintain office hours of during program hours.
  • Support all program coordinators and maintain club policies and procedures.

Registration & Member Services

  • Manage member registration through Uplifter.
  • Maintain accurate records and provide monthly reports to the Board.
  • Address and escalate registration issues as needed.

Website & Social Media

  • Keep the club website updated and user-friendly.
  • Develop and execute a social media strategy to promote programs and events.

Permit & Facility Coordination

  • Assist with yearly scheduling and ice permit applications.
  • Liaise with the City of Toronto and oversee facility maintenance.

Coach & Program Assistant Coordination

  • Manage coach dashboard and PA scheduling.
  • Oversee PA credit tracking and integration into programs.

Financial Coordination

  • Coordinate payroll and accounts payable.
  • Work with the bookkeeper and treasurer on financial reporting.
  • Monitor client accounts and update invoices in Uplifter.

Committee & Board Support

  • Provide administrative support to committees.
  • Attend board and staff meetings, presenting operational updates.

Event Planning

  • Assist in planning and executing events such as simulation days, winter games, the annual ice show, and gala.
  • Coordinate logistics, promotions, and volunteer support.

Club Swag & Community Engagement

  • Manage club merchandise orders and distribution.
  • Foster strong communication with members, coaches, and partners.

Volunteer Coordination

  • Recruit and manage volunteers for events and club operations.

 Other Duties

  • Perform additional tasks as assigned by the Board.

 

Qualifications

  • Proven experience in administrative or operations roles.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with digital tools (e.g., Uplifter, Microsoft Office, social media platforms).
  • Ability to work independently and collaboratively.
